Description

The incumbent will organize, manage, and perform an extensive array of secretarial, administrative, and support activities on behalf of the Head of Government Relations, General Manager, and other senior officers of the company. The incumbent will be the primary point of administrative and operational contact for internal and external communications, often on complicated and confidential matters.

Roles and Responsibilities:

  • Support Head of Government relations on license renewals. Ensuring proper monitoring of its expiry and or cancellation whenever required.
  • Update support services by providing renewed copies of the company licenses. Ensure that it is immediately available for access
  • Supervising day-to-day operations of the administrative department and staff members
  • Training and evaluating office boys, and admin assistants; taking corrective action when necessary.
  • Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained. Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
  • Collect and compile attendance reports from respective departments for payroll processing. Ensure that overtime hours are verified, and cross checked with the General Manager.
  • Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.
  • Collecting, organizing, and storing information using computers and filing systems.
  • Ensure that the calendar of the General Manager is up to date. Maintain the GM’s schedule.
  • Manages ticket bookings and cancellations, hotel reservations, company activities, visa application for business trips of senior management.
  • Manages the head office and reception area. Ensure that office is tidy.

Qualification:

  • Bachelor’s Degree in Business Administration, Management, or any related field.
  • Proficiency with computers, especially MS office.
  • Familiarity with financial and facilities management principles.
  • In-depth understanding of office management procedures and departmental policies and procedures.

Experience:

  • Minimum there (3) years of administration management experience within the Facilities Management industry.
  • Experienced in handling File Management compliance in line with audit requirements.
  • Experienced in managing calendar of activities and office management.
  • Experienced in license renewals in Freezone and mainland.
